5 Time Management Techniques for Virtual Assistants
Time Management. Yes! one of biggest struggles for Virtual Assistants and freelancers in general. I’m not alien about this problem because I do struggle in this area big time!
So why am I blogging about this?
Well for starters, newbies need to know how to manage their time effectively in order to work seamlessly with multiple clients. Furthermore, even experienced virtual assistants also encounter time management problems which can be a pain in the a** most of the time.
What causes time management struggles? -#struggleisreal
There are several factors why we’re having problems with time management. It can be:
- Too much distractions
- Failure to focus on tasks
- Not having a work schedule or plan
… and a lot more
I would love to discuss these issues in detail but since this is not the topic of my blog (obviously!) so I just want to reiterate what makes the struggle real. Unfortunately there are a lot of concerns revolving time management and this is something that we need to address if we want to be more productive with our virtual assistance business.
What can we do about it?
Good thing this problem is curable, unlike a disease or viral infection. It’s a matter of self realization. If you already know you have a problem about time management then congratulations! You’re one step closer fixing the problem!
Addressing and working on it is an entirely different thing. There are a lot of time management techniques out there and it’s very daunting sometimes to check what would be the best technique to use.
Well one thing is for sure, you have to test what works for you. You’ll be your own lab mice or guinea pig, whatever it is. What matters is that you’re trying to find a solution to your problem; and that my friend is the most important thing in the process.
What time management techniques should I use?
Apparently there are a lot of time management techniques to use and to read through. Most of them work. I say MOST of them because again, not all works for you and me. So we have to test and test and test until we get what works and is effective for us.
On this blog I list down the best time management techniques you can use to effectively manage your time in your virtual assistant business. As a virtual assistant myself with multiple clients, these time management techniques can be very useful for you if you have the same business as I do. Moreover, these techniques have been used by serial entrepreneurs as well, so without further a do let’s get on with the techniques, shall we?
1. Schedule and plan ahead of time
The first thing you need to do is practice scheduling and planning. It takes a lot of practice to understand how you need to work and what are the things you need to do for the day. You will eventually get your groove if you do it regularly. Spend 15 – 30 mins on what needs to be done for the next day so you can properly align your priorities for the day.
2. Organize your work space
Your working space should be clutter free and organized. It’s important that you can easily retrieve paper works and other papers that your client needs. Also it is said that a clean and organize work space can help you work without distractions.
3. Turn off social media
It is said that social media is the biggest time waster for VA’s. It eats up your time and it is very unproductive. When working avoid this kind of distractions. You can turn off the wifi from your phone. You can also download an app like StayFocusd on your PC. It blocks social media while working.
4. Set deadlines for tasks you need to do
If you have a lot of projects at hand with open ended deadlines then set one for them. Having deadlines can help you focus to complete the task as soon as possible.
5. Batch similar tasks together
Batch similar tasks can cut time in half. Identifying which tasks can be done in one short can help you complete the tasks faster.
